

Litchfield Performing Arts, located in Goshen, CT, is a 31 year-old not for profit that runs the internationally recognized Litchfield Jazz Camp and Litchfield Jazz Festival, as well as the 19 year running arts education program Project Poetry Live!. LPA is seeking to add an Office Administrator to our energetic management team. This position will begin as a 20 hour/week part-time 60 day contract (M-F, 9-2PM). After 60-day performance evaluation position may become full-time with benefits for the right candidate.
Litchfield Performing Arts team works in a collaborative, high-energy atmosphere. Successful candidate will be a financially-minded person who loves organization and track-keeping. Candidate must be a team player and self-starter that can work independently prioritizing assignments, have a positive mindset, and excellent interpersonal skills. High level of proficiency in Microsoft Office suite, and QuickBooks, and ability to easily adapt/learn new computer programs is a must.
Responsibilities include but are not limited to:
-Administering daily operation of office, processing mail, updating databases, ordering supplies, overseeing payment of bills, filing, etc.
-Operating as liaison to board of directors, scheduling and preparing materials for meetings, attending meetings and taking minutes, following-up with board on required actions.
-Keeping track of contracts for organization including Litchfield Jazz Festival artist contracts, Litchfield Jazz Camper registration materials, and Litchfield Jazz Festival Exhibitor contracts.
-Processing and analyzing program surveys and generating reports for board and staff review and action.
-Overseeing financial systems (QuickBooks) and staying in constant communication with Bookkeeper and CPA to maintain proper checks and balances.
-Preparing organization annually for audit by working with staff to close out fiscal year, reviewing all program financial reports, working with CPA and bookkeeper to assess financial procedures and make adjustments.
-Handling annual filing of organizational related licenses, permits and federal reports.
-Facilitating large office mailings of Camp and Festival brochures, coordinating with printer and mail house.
-Coordinating monthly e-newsletter release with staff to coincide with FaceBook and Twitter postings, help draft content and format newsletter
-Drafting letters, simple contracts, emails, reports, and other communications as necessary.

Organization offers plenty of room to grow. 60-day contract at an hourly rate of $12.50, if hired full-time salary in high-20’s. This full-time position with benefits is to begin as soon as possible.
Litchfield Performing Arts team works in a collaborative, high-energy atmosphere. Successful candidate will have a track-record of grant success, be a sharp, organized individual that can prioritize assignments, and juggle multiple responsibilities without it affecting work accuracy. Candidate must be comfortable with budgets and numbers, be a team player with a positive mindset and excellent interpersonal skills. High level of proficiency in Microsoft Office suite, and ability to easily adapt/learn new computer programs is a must. Working knowledge of QuickBooks necessary.
Responsibilities include but are not limited to:
- Working jointly with Executive Director and Board in setting annual fundraising goals and researching/developing new opportunities.
-Researching, developing, writing, and managing annual organization funding resources including grants, sponsorship, appeals, and individual donor relations.
-Overseeing annual fundraisers large and small including opening night Gala and auction at Festival. Developing new fundraisers and fundraising ideas.
- Managing donor communications including building relationships with current and potential donors and maintaining donor database
-Overseeing Board fundraising activities, providing training and support where necessary to accomplish annual goals.
-Developing and monitoring organization and program budgets, cash flows, and profit and loss statements.
-Coordinating marketing plan and budget with Marketing Director.
